The Toastmasters of Conferencing

The first company I worked for offered Toastmasters, a professional club for developing public speaking skills. I admit, it made me nervous to go, I dreaded my time to speak, and I disliked writing speeches even more. I couldn’t wait to be done. Once I completed my CTM (Certified Toastmaster), I considered myself proficient and filed away my Toastmasters manual. Now, more than 10 years later, I wish I had continued. I still draw upon those same skills when called upon in front of groups of people.

But what if you can’t see your audience? While many of the same Toastmasters skills can be applied to online meetings, it is still a very different world with often very different rules. Consider the following questions in regards to audio conferencing:

When is starting off with a joke appropriate? How long should I speak? Should I pre-record or go live? Premiere Global’s Event Production Services is the Toastmasters of web and audio conferencing. Favorite Things: Sharing with Netspoke’s AppShare

Today I learned my daughter thinks it would fun to have a bear living with us. Yes, we were playing the Favorites Game again. The question – “What is your favorite pet?” Her answer – “A bear.” Okay, she was teasing me, just a little.

In the spirit of continuing to play the Favorites game, I thought I’d share some more of my favorite Premiere Global things. I am still fascinated by Web conferencing. Netspoke, in particular, is near and dear to my heart since I’ve been marketing it since its infancy. I especially love the AppShare feature, which allows you to share your desktop with conference participants. If you want to show your latest Excel spreadsheet or a cool video to your conference attendees, it’s no problem. Just click the AppShare button and you are on your way. You can even reverse control and allow your web conferencing participants to control the application. I truly appreciate the versatility this feature offers conference moderators. What the Beep?

When you are in the business of hosting millions of meetings each month, you know a thing or two about how people communicate. Unwanted noises can be a distraction during a meeting. As such, many conferencing users become frustrated with ‘the beep’. What is the beep and while we’re at it, what the beep!

The beep (or tone) is a simple way to announce when someone enters or exits a meeting. The beep is an important indicator when you are discussing sensitive topics. However, the beep can be distracting when you are hosting a large number of participants on a call.

As someone who attends a LOT of meeting and uses Premiere Global’s ReadyConference Plus many, many times a day, I wanted to pass along a few of my go-to-tricks for handling the beep:

1) Know your login details so you can manage your account settings online. If you do not know them, refer to your original confirmation email, contact your account manager or go to our ‘Forgotten Password’ page. Once on the ‘Forgotten Password’ page, submit your email (first box) and your audio passcode (third box). An email will automatically arrive in your inbox with your client ID and password needed to manage your account online.

2) Ready to turn off those beeps? Go to www.premiereglobal.com and click Log In (top right corner). Select “Manage My Meetings” and enter your client ID and password. You will be taken to the Host Menu. Also note, this is a great place to view meetings you’ve created, invite attendees or view reports related to your account!

3) After login, click ‘Modify this Audio Conference’, then ‘Change Conference Options’. Now you can select the ‘Turn on/off tone entry’ and figure out the beep setting that is most convenient and natural for your meetings.

The Hype with Skype

Shortly after waving and saying good-bye to my friend in Egypt, I logged off Skype and got to thinking. Skype has done wonders for advancing the world of immediate web-based video and audio communication – an area obviously close to our hearts here at PGi.

Now that Skype is catching on, people around the world are recognizing the benefits of web conferencing. Skype is primarily used for friends to keep in touch, but businesses are catching on to the freely-available Voice over Internet Protocol (VoIP) phone service made available through Skype. Nearly 12 million people in the world are communicating through Skype at any given moment, with approximately 17 million registered Skype users using the service for business purposes.

While Skype is great for free-loaders like myself, there are added benefits to enhancing your web conferencing through paid services-namely security and the ability to converse with more people simultaneously (for more on security with paid conferencing, check out Jill Sciulli’s Why Pay for the Cow?). I love to use Skype to keep up with Cairo, but for conferencing that requires enhanced services for multiple participants and relaying confidential company information, perhaps dropping an extra coin is worth it.

Keep your eyes on the road with automatic passcode entry on a mobile device

Okay, I’ll admit it- I’ve taken my eyes off of the road more than once in order to enter in the passcode for the conference call I’m joining from my car. I’ll even admit to looking up the passcode and repeating it 5 times in hopes of remembering it during those moments my eyes are off the road. Isn’t there an easier way??

With PGiMeet conferencing, there is! We all enjoy the ease of clicking a phone number to dial it from our mobile phones. When you send a meeting invitation, you can format the number so that not only can you dial the number by clicking on it from your mobile device, but also the passcode will be entered automatically as well.

Here’s how to do it: “(toll free number)x(participantpasscode)#” with no spaces or dashes. For example, if my toll free number is 877-802-4787 and my participant passcode is 8743598, I’d format it like this:

18778024787×8743598#

Participants can simply click the number from a mobile device, and within a moment they’ll be in your conference, without having to type in a passcode.

We suggest using this format in all of your meeting invitations- your participants will be grateful. Not to mention the other drivers.
